Moments in Motion Travel

Moments in Motion Travel wants travelers to understand how the travel-planning and booking process works, who provides the services included in a trip, and what responsibilities belong to the traveler.
Please review the following information before proceeding with travel arrangements.
1. Independent Affiliate / Host Agency Relationship
Moments in Motion Travel, an Independent affiliate of KHM Travel Group.
Moments in Motion Travel is independently operated and maintains its own business identity.
KHM Travel Group serves as the host travel agency through which Moments in Motion Travel may access travel-industry resources, supplier relationships, booking resources, and other services available through the host-agency relationship.
As a result of this relationship, certain supplier communications, booking confirmations, invoices, payment-related documentation, or other travel documents may reference KHM Travel Group.
Moments in Motion Travel should not be understood to be an employee, officer, or manager of KHM Travel Group.
2. Independent Travel Suppliers
Moments in Motion Travel assists clients with researching, planning, and arranging travel.
The actual travel services are provided by independent suppliers, which may include airlines, hotels, resorts, cruise lines, tour operators, transportation companies, excursion providers, travel-protection providers, and other travel-related businesses.
Moments in Motion Travel does not operate or control these independent suppliers.
Each supplier is responsible for the travel products and services it provides, including its operations, schedules, accommodations, transportation, policies, and performance.
This distinction is also reflected in KHM's Client Acknowledgement Form, which states that the travel agency provides retail travel services while the underlying services are provided by separate and independent travel suppliers.
3. Supplier Terms & Conditions
Travel reservations are subject to the terms and conditions of the suppliers providing the applicable travel services.
Supplier terms may address matters including:
- Deposits
- Final-payment deadlines
- Changes
- Cancellations
- Refunds
- Future travel credits
- No-shows
- Room or stateroom categories
- Airfare restrictions
- Baggage policies
- Transportation
- Promotions
- Travel documentation
- Other reservation-specific requirements
Applicable supplier terms will be provided or made available during the quote or booking process when appropriate.
Travelers are responsible for reviewing the terms applicable to their specific reservation.
KHM's booking workflow specifically instructs advisors to provide supplier terms and conditions with proposals or bookings.
4. Pricing & Availability
Pricing and availability are subject to change.
Travel prices, promotions, airfare, accommodations, cruise fares, room or stateroom categories, transportation, excursions, taxes, fees, and other travel components may change before a reservation is confirmed.
Receiving a quote or proposal does not guarantee that a particular price or travel component will remain available.
Where a supplier permits a reservation to be placed on hold, applicable supplier rules and expiration deadlines will apply.
A reservation is not considered confirmed merely because Moments in Motion Travel has researched or quoted an option.
KHM's booking guidance specifically directs advisors to include the statement that pricing and availability are subject to change when presenting proposals.
5. Traveler Responsibility
Travelers are responsible for providing accurate information and carefully reviewing their travel documents and reservation details.
Depending on the trip, travelers may need to verify:
- Legal names
- Dates of birth
- Travel dates
- Flight information
- Hotel, resort, or cruise details
- Room or stateroom categories
- Deposit and final-payment requirements
- Applicable fees
- Cancellation/change policies
- Travel-protection information
- Transportation arrangements
- Other itinerary information
If something appears incorrect, the traveler should notify Moments in Motion Travel promptly.
KHM's Client Acknowledgement specifically directs travelers to verify legal names, dates, flight times, airline information, insurance terms, supplier information, cancellation policies, and payment schedules.
6. Travel Documents & Identification
Travelers are responsible for obtaining and maintaining the documents required for their trip.
Depending on the itinerary and traveler, this may include:
- A valid passport
- Government-issued identification
- Visas
- Entry or transit authorizations
- Documentation required for minors
- Other documentation required by governmental authorities or travel suppliers
Requirements may vary according to destination, citizenship, itinerary, traveler age, and other circumstances.
Travelers should verify current requirements through appropriate government authorities and allow adequate time to obtain required documentation.
Providing passport or identification information to Moments in Motion Travel does not guarantee that a traveler satisfies governmental entry or documentation requirements.
7. Travel Insurance / Travel Protection
Travel involves financial risk, and unexpected circumstances can affect a trip.
Travel insurance or travel protection may be offered or recommended when available.
Depending on the policy, coverage may address certain losses involving trip cancellation or interruption, illness or injury, baggage, medical expenses, emergency transportation, or other covered events. Actual benefits, exclusions, eligibility, deadlines, and claim decisions are determined by the applicable policy or provider.
KHM's insurance-waiver form specifically advises clients about potential protection involving supplier bankruptcy/default, qualifying trip cancellation/interruption, baggage loss, medical expenses, and emergency air transportation.
Purchasing travel protection does not mean every circumstance or loss will be covered.
Travelers should review the actual policy carefully.
If a traveler declines recommended travel protection, Moments in Motion Travel may require documentation acknowledging that decision as part of the booking process. KHM's waiver includes an explicit acknowledgement when a client declines recommended insurance.
8. Changes, Cancellations & Refunds
Changes, cancellations, refunds, rebooking, future travel credits, and penalties are generally governed by the policies of the applicable travel supplier and any applicable law.
Some travel arrangements may become partially or completely nonrefundable after booking or after specified deadlines.
Moments in Motion Travel may assist clients in navigating applicable supplier processes but does not determine or guarantee a supplier's decision regarding refunds, credits, cancellations, schedule changes, or rebooking.
If a trip is interrupted or cancelled by a supplier, governmental entity, or another circumstance outside the travel agency's control, applicable supplier policies and any travel-protection coverage may determine the traveler's available remedies.
KHM's Client Acknowledgement similarly provides that supplier cancellation, rebooking and refund policies govern applicable client remedies and that insurance coverage is determined by the terms of the applicable policy.
9. Circumstances Beyond Our Control
Travel may be affected by circumstances beyond the control of Moments in Motion Travel.
Examples may include severe weather, natural events, government actions, security events, labor disruptions, supplier operational changes, mechanical issues, public-health events, transportation disruptions, or other unforeseen circumstances.
Moments in Motion Travel will provide reasonable assistance when travel arrangements are disrupted, but cannot control the actions or decisions of independent suppliers, governmental authorities, or other third parties.
Supplier terms, applicable law, and travel-protection coverage may determine what options are available when such events occur.
